Position Overview

The Project Controls Specialist serves as a key liaison between operations, accounting, and project management
to ensure seamless project setup, accurate billing, and efficient workflow across the project lifecycle. This role is
designed to optimize business processes, improve efficiency for Project Managers in managing project and billing
workflows, and support ongoing data management initiatives to prepare the organization for AI-ready processes.

 

Location: This is a remote role but strong preference to live in one of the following cities St. Louis, MO - Wichita, KS or Lexington, KY.

Responsibilities

● Gather, verify, and maintain project data for proposal development and contract setup.
● Manage contract values, amendments, and updates to ensure accurate system records.
● Set up new projects in the ERP system (Deltek Vantagepoint), ensuring accurate client, contract, and
financial information.
● Maintain comprehensive project records, track milestones, and monitor deliverables to ensure
compliance with schedules.
● Collect, compile, and track field reports for timely and accurate submission.
● Facilitate communication between Project Managers, clients, and internal departments to support
smooth project execution.
● Generate and distribute project-related reports and documentation as needed.
● Collaborate with operations and project teams to validate billing accuracy and ensure alignment with
contract terms.
● Address and resolve billing discrepancies or client inquiries promptly and professionally.
● Support collections with documentation, verification, and follow-up on outstanding accounts.
● Partner with leadership to identify process inefficiencies and implement improvements in billing
workflows.
● Maintain organized digital records of invoices, contracts, and project financial documentation.
● Identify opportunities for process enhancement within project administration and billing workflows.
● Develop and document Standard Operating Procedures (SOPs) to ensure consistency, compliance, and
clarity across functions.
● Support system and process transitions, ensuring staff adoption and understanding of new procedures.
● Collaborate with leadership to track KPIs, analyze data, and recommend improvements for operational
transparency and efficiency.
● Assist with special projects and perform other related duties as assigned.

Qualifications

● Bachelor’s degree in Business Administration, Accounting, Engineering, or related field
preferred; equivalent work experience considered.
● 4-6+ years of experience in project coordination, billing, or accounting—preferably within
engineering, construction, or technical services.
● Experience with ERP systems Vantagepoint preferred, Deltek Vision acceptable).
● Familiarity with project contracts, setup, invoicing, and collections processes.

● Advanced proficiency in Excel and Microsoft Office Suite.
● Strong attention to detail and organizational skills.
● Ability to manage multiple priorities and meet deadlines effectively.
● Excellent written and verbal communication skills.
● Analytical mindset with a focus on accuracy and process improvement.
● Collaborative, customer-focused approach with professionalism in all communications.
● Ability to work independently while collaborating across multiple teams.
● Adaptable to a dynamic, fast-paced environment with a “get it done” mindset.
● Demonstrated experience developing and refining internal processes to improve efficiency.

Travel Requirements

● This position does not require regular travel as part of its primary responsibilities. However, occasional
travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or
company events. Travel, when necessary, will be communicated in advance and aligned with business
needs

Physical Demands & Work Environment

• This position primarily operates in a remote work environment, requiring the ability to perform job
responsibilities from a home office setting with reliable internet access.
• Work is conducted using a computer, phone, and virtual collaboration tools, with regular communication
with team members, clients, and stakeholders.
• Employees are expected to manage multiple tasks in a dynamic setting that may involve virtual meetings,
deadlines, and independent work.
• While the work environment is typically climate-controlled, employees must ensure an appropriate and
professional home office setup.
