The Office Manager I provides foundational administrative and operational support for a branch office within our engineering and environmental services network. This entry-level leadership role focuses on daily administrative tasks, basic reporting, employee recordkeeping, and supporting branch efficiency while learning company processes and systems.
● Maintain office productivity, supply ordering, equipment maintenance, event planning, and policy compliance.
● Prepares invoices, proposals, and reports, and supports collection processes, as needed.
● Tracks and verifies gasoline card expenditures and credit card expenses for branch personnel.
● Supports employee selection and onboarding; Ensures proper completion of new hire paperwork.
● Collects, records, and forwards personnel records, transactions, and documentation to HR and/or Payroll.
● Supports benefit plan enrollment at the site level.
● Responds and/or investigates employee inquiries regarding policies, procedures, and programs.
● Handle incoming and outgoing correspondence, including emails, letters, and packages.
● Create regular reports, correspondence, and presentations.
● Greet visitors, answer and direct phone calls, and provide general information.
● Communicate with internal and external partners and vendors, as needed.

● High school diploma with 3–5 years of administrative experience (or equivalent).
● Proficiency with Microsoft Office and basic collaboration tools.
● Strong attention to detail and communication skills.
● Ability to maintain confidentiality and multitask in a dynamic environment
● Familiarity with administrative practices in professional services preferred.
● This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.
• This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
• The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
• The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
• The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
