Position Overview

The receptionist will be the first point of contact for visitors and clients, handling incoming calls, directing inquiries,
scheduling appointments, and maintaining a welcoming reception area. Strong communication, organizational skills, and
a positive attitude are essential.

Responsibilities

  • Greet and assist visitors, ensuring they feel welcome and are directed to the appropriate person or meeting room.
  • Answer and route incoming phone calls in a professional and courteous manner.
  • Receive, sort and distribute incoming mail and packages promptly.
  • Prepare and send outgoing mail, not limited to USPS, UPS and/or FedEx.
  • Deliver packages and documents to various departments within the office.
  • Maintain and update the daily conference room schedules, ensuring accurate bookings.
  • Order and maintain inventory of office supplies, replenishing as needed.
  • Keep the reception area clean, organized and presentable at all times.
  • Communicate with janitorial staff on any concerns.
  • Conduct out-of-office errands on an as-needed basis such as obtaining supplies, package drop-off, etc.
  • Maintain excellent communication both verbally and electronically with supporting staff.
  • Perform other clerical receptionist duties such as filing, photocopying, etc.
  • Perform additional duties as assigned. 

 

Qualifications

  • High School Diploma required. 
  • Preferred: Minimum of 1 year in an administrative position in an office setting.
  • Proficient knowledge and use of Excel and other Microsoft Suite programs.
  • Ability to follow directions and carry out instructions in both verbal and written form. 
  • Ability to define problems, collect data, establish facts and draw valid conclusions. 
  • Ability to read, analyze and interpret general business memos, periodicals, professional journals, proposals, technical procedures and government regulations.
  • Ability to write reports and business correspondences.
  • Ability to effectively present information and respond to questions from groups of managers, employees, clients, customers and the general public. 
  • Must be able to use technology efficiently including computers, computer software and phones. 
  • Must be a problem solver and have the ability to think through and solve problems that may arise. 
  • Strong interpersonal and communication skills.
  • Must have the ability to prioritize and plan work activities, uses time efficiently and develops realistic action plans with a strong attention to detail and ability to multi-task.
  • Must be able to adapt to changes in the work environment, managing competing demands with the ability to deal with frequent changes, delays and/or unexpected events. 

Travel Requirements

  • This position does not require regular travel as part of its primary responsibilities.
  • Occasionaltravel may be required, up to 10%, primarily for occasional off-site tasks.
  • Travel, when necessary, will be communicated in advance and aligned with business needs.

Physical Demands & Work Environment

 

  • Days and hours for this position are Monday-Friday during the day from 7:30am-12:30pm. 
  • This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
  • The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
  • The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
  • The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
