The Benefits Specialist supports the administration of employee benefits programs across the organization,
including health and welfare plans, retirement savings plans, wellness initiatives, and leave of absence programs.
This role ensures day-to-day operational accuracy, compliance with regulatory requirements, and prompt,
effective service to employees. The Benefits Specialist works collaboratively with HR, payroll, finance, and
external vendors to deliver a high-quality employee experience and maintain the integrity of benefits data and
processes.

Responsibilities

● Administer routine benefits transactions, including employee enrollments, changes, life events, and
terminations in alignment with plan guidelines and internal policies.
● Act as the first point of contact for employee benefit inquiries, providing timely and accurate information
regarding plan options, coverage, claims, and eligibility
● Support benefit onboarding for new hires and assist in the execution of open enrollment, including
employee education and system updates.
● Maintain accurate benefit records in the HRIS and benefit administration systems; ensure secure and
confidential handling of employee data.
● Collaborate with payroll and finance teams to ensure proper deductions, billing, and reconciliation of
benefit-related invoices.
● Assist in tracking and administering leave of absence programs (e.g., FMLA, STD, LTD, parental leave),
coordinating required documentation and follow-up.
● Ensure benefit programs and communications meet compliance requirements under ERISA, HIPAA,
COBRA, ACA, and other applicable regulations.
● Coordinate data exchanges and issue resolution with third-party vendors and carriers under guidance
from the Benefits Manager
● Contribute to internal audits, benefits reporting, and process improvements as requested.
● Maintain updated plan documentation, process guides, and employee-facing materials
● Identify opportunities to improve employee understanding and engagement with benefits offerings and
escalate complex issues to the Benefits Manager.

Qualifications

● Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
● 2+ years of experience in benefits administration or HR support, preferably in a multi-site or fast-paced
environment.
● Working knowledge of federal and state regulations impacting employee benefits (ERISA, HIPAA, COBRA,
FMLA, ACA, etc.)
● Experience using HRIS and benefits administration platforms (e.g., Workday, ADP, UKG) preferred.

● Strong attention to detail, data accuracy, and ability to manage sensitive information with professionalism
● Customer-service orientation with strong communication and interpersonal skills.
● Proficiency in Microsoft Office Suite, especially Excel and Outlook
● CEBS certification or coursework toward a benefits or HR credential is a plus

Physical Demands & Work Environment

  • This position operates in a hybrid work environment, requiring flexibility to work effectively from both a
    professional office and a home office setting, and the ability to communicate and collaborate seamlessly
    in both virtual and in-person environments.
  • Remote Work Requirements:
    • Must maintain a professional home office with reliable internet access and minimal distractions.
    • Work is conducted using a computer, phone, and virtual collaboration tools.
    • Employees are expected to manage multiple tasks independently, participate in virtual meetings,
      and meet deadlines in a dynamic environment.
    • Home office setup must support consistent productivity and professional video/audio
      communication.
  • On-Site Office Requirements:
    • Work is performed at a desk for extended periods using a computer, phone, and standard office
      equipment in a climate-controlled office environment.
    • Regular in-person communication with team members, clients, and stakeholders is required.
    • Physical demands may include sitting for long durations, occasional standing, walking, bending,
      and lifting of materials up to 15 pounds.
