The Proposal Specialist I supports the development and production of proposals, qualifications packages, and
related marketing materials in response to client requests (RFPs, RFQs, RFIs). Working under the guidance of the
Proposal Manager and in collaboration with technical staff and business development teams, this role contributes
to the creation of clear, accurate, and compelling submissions that align with company standards and client
requirements.

Responsibilities

• Write clear, persuasive, and articulate proposal sections.
• Translate technical and other ideas into understandable text
• Visualize, analyze, and communicate project scope of work.
• Rewrite, review, and edit proposal sections and related proposal documents, maintaining high standards of accuracy, consistency, and quality.
• Attend meetings with the UES proposal team to translate requirements into proposals.
• Ensure proposal responses comply with all the requirements of the RFP and brand standards.
• Prioritize responsibilities to meet deadlines.
• Ability to create persuasive proposals in InDesign, conveying the company messaging and brand.
• Other duties may be assigned

Qualifications

● Bachelor’s degree in Marketing, Communications, English, Journalism, Business, or a related field.
● 3+ years of experience in proposal development, marketing, technical writing, or a related field.
● Strong writing, editing, organization, and communication skills with attention to detail.
● Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)

● Proficiency in Adobe InDesign or Creative Cloud.
● Ability to manage multiple priorities, meet deadlines, and work both independently and collaboratively.
● Willingness to learn RFP response processes and apply proposal best practices in a fast-paced, deadline-driven environment.
● Comfortable collaborating with remote and cross-functional teams.

Physical Demands & Work Environment

• This position primarily operates in a professional office environment, requiring the ability to work at a
desk for extended periods while using a computer, phone, and standard office equipment.
• The position involves sitting for extended periods, performing data entry, and engaging in frequent
communication via email, phone, and in-person interactions.
• The role involves regular communication with team members, clients, and stakeholders, both in person
and through virtual platforms.
• The physical demands of the job may include occasional standing, walking, bending, and lifting of office
materials up to 35 pounds.
