Overview

Our Dallas office is seeking an organized and detail-oriented Part-Time Environmental Administrative Assistant to support our team with various administrative tasks related to environmental consulting services. The ideal candidate will be responsible for managing project setups, maintaining project tracking systems, document handling, report distribution, and assisting with the day-to-day operations of the team.

Responsibilities

  • Managing project setups, which include creating and organizing both electronic and hard copy project folders so project information is easily accessible.  Save executed agreements.  Follow client-specific invoicing requirements.
  • Process purchase orders for subcontractors, office supplies, and equipment. 
  • Reconcile subcontractor invoices.
  • Prepare and bind hard copies of reports and coordinate physical mailing via FedEx and other carriers, as needed.
  • Finalize project reports electronically, upload to shared drive, and distribute to clients with access links and corresponding invoices.
  • Submit COI requests to insurance carrier, track completion, and distribute to clients/vendors.
  • Enroll personnel in training classes, as needed.
  • Maintain inventory of office supplies.

Qualifications

  • 0-3 years of experience in administrative or data entry roles.
  • Proficient in MS Word, Excel, Outlook, and PowerPoint. 
  • Flexibility is essential: This role may involve adjusting tasks or taking on new responsibilities as project needs evolve. The ability to adapt quickly to changes in tasks, timelines, and priorities will be crucial for success.
  • Initiative and willingness to take ownership of projects assigned.
  • Strong time-management and people skills, and excellent multitasking ability.
  • Ability to maintain confidentiality of company information.
  • Ability to lift up to 20+ pounds as needed.

Physical Demands & Work Environment

  • This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment
  • The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
  • The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
  • The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
