The Building Inspection Department is seeking a highly organized and flexible Administrative Assistant to provide cross-functional support across multiple areas and handle general administrative duties. This role requires someone who is detail-oriented, adaptable, and computer savvy. The ideal candidate will be a strong communicator who can float between tasks and departments, ensuring smooth daily operations within a fast-paced municipal or construction environment.
Provide administrative and clerical support for the BID team.
Assist with scheduling and dispatching inspectors for site visits and inspections.
Process and track permit applications, renewals, and approvals.
Generate and submit invoices and assist with basic accounts receivable tasks.
Maintain accurate and organized records and inspection reports.
Edit and prepare reports and PDFs using Adobe Acrobat.
Prepare and maintain spreadsheets, reports, and logs using Microsoft Excel, along with other Microsoft Office tools including Word, Outlook, PowerPoint, and Teams.
Respond to inquiries from clients, contractors and staff by phone and email.
Support general front desk duties and special projects as needed.
Communicate regularly with other departments such as Planning, Code Enforcement, and Engineering.
