As a Marketing Proposal Specialist, you will craft compelling and comprehensive proposals and bid responses that effectively convey UES’s strengths and qualifications related to a specific scope of work. You will ensure that proposals are accurate, compliant, and competitive by working collaboratively with cross-functional teams, including sales, engineers, project managers, and our marketing team. Scopes of work include but aren’t limited to, geotechnical engineering, environmental consulting (including NEPA/CEQA), construction materials testing and inspections, and building envelope and code inspections.
 
A successful proposal writer needs excellent writing and editing skills and the ability to clearly and concisely communicate complex ideas related to our scope of work and projects. Furthermore, one must have strong project management skills and be capable of managing multiple proposals simultaneously while meeting strict deadlines. Proposal Specialists need to know industry standards, best practices, and how to tailor their proposals to specific client requirements. A Proposal Specialist must translate technical and other ideas into understandable text. They must rewrite and review proposal sections and related documents. This requires researching, writing, and organizing information professionally and credibly.
 
A Proposal Specialist is an integral part of our Marketing & Communications department, MarComm. The MarComm team thrives on collaboration and teamwork and utilizes creativity and strategy to produce winning proposals. This position will report directly to the Divisional MarComm Leader and indirectly to the Regional Marketing Manager(s).

Responsibilities

  • Write clear, persuasive, and articulate proposal sections.
  • Translate technical and other ideas into understandable text.
  • Visualize, analyze, and communicate project scope of work.
  • Rewrite, review, and edit proposal sections and related proposal documents, maintaining high standards of accuracy, consistency, and quality.
  • Attend meetings with the UES proposal team to translate requirements into proposals.
  • Ensure proposal responses comply with all the requirements of the RFP and brand standards.
  • Prioritize responsibilities to meet deadlines.
  • Ability to create persuasive proposals in InDesign, conveying the company messaging and brand.
  • Facilitate collaboration and maintain professional relationships with internal departments, external partners, and vendors to enhance operational effectiveness.
  • Willingness to travel up to 10% of the time primarily for occasional offsite meetings, training sessions, or company events.
  • Flexibility may be needed for occasional overtime, business events, or urgent administrative requests based on organizational needs.

Qualifications

  • A Bachelor’s Degree in English, Marketing/Communications, or similar field of study.
  • 3+ years of previous proposal writing experience in engineering, construction, or a related field.
  • Proficiency in InDesign and other Adobe Creative Cloud Software.
  • Strong knowledge and experience with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Excellent computer and organizational skills.
  • Excellent written, verbal, communication, and interpersonal skills.
  • Ability to collaborate with remote team members.

Physical Demands & Work Environment

 

• This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
• The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
• The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
• The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
